1. About this Policy

Narre Warren Junior Football Club (NWJFC) respects your privacy and is committed to protecting personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Policy explains how we collect, use, disclose, store and secure personal information, and how individuals can access or correct their information and make privacy complaints.

NWJFC participates in community football administered within AFL South East and South East Juniors (SEJ). Where we use AFL systems or interact with AFL programs, we also have regard to the AFL & AFL Club Privacy Policy as relevant to those platforms and services.

 
2. What personal information we collect

Depending on your role (player, parent/guardian, volunteer, coach, official, sponsor or visitor), NWJFC may collect:

• Contact details (name, address, email, phone); date of birth; player registration details; parent/guardian and emergency contact details.

• Participation and membership history; accreditation/working with children checks for coaches/volunteers; team allocations; attendance and competition records.

• Health or injury information volunteered for game-day safety and first aid (e.g., allergies), handled with heightened care as sensitive information under the Privacy Act.

• Website and digital interactions (e.g., IP address, device/browser data) if you use club sites, registration portals or AFL Online services.

• Images from matches, training, and events (where consent is provided or notices are displayed).

We will only collect personal information that is reasonably necessary for club operations, safety, compliance, or to deliver club services.

 
3. How we collect information

We collect information directly from you (e.g., online registration, forms, emails), from parents/guardians for junior participants, and—where applicable—via AFL or SEJ platforms used for community football administration.

If we receive unsolicited personal information, we will handle it in accordance with APP 4 (e.g., by destroying or de‑identifying if not required).

 
4. Use of personal information

We use personal information to:

• administer registrations, teams, fixtures, training and match‑day operations;

• ensure child safety and welfare; manage first aid and injury reporting;

• communicate club news, events, and operational updates;

• meet compliance obligations (e.g., working with children checks);

• coordinate volunteers, coaches, umpires and officials;

• manage sponsorships and community programs.

NWJFC will not use or disclose personal information for direct marketing without meeting APP 7 requirements (including opt‑out options).

 

5. Disclosure of personal information

We may disclose personal information to:

• AFL South East, SEJ and AFL community football platforms solely for competition administration;

• medical/first aid personnel for participant safety;

• insurers, governing bodies or regulators where required;

• service providers supporting our operations (e.g., IT systems), under confidentiality obligations.

Where personal information may be disclosed outside Australia via AFL platforms, we will take steps required by APP 8 before any cross‑border disclosure.

 

6. Important: enquiries about children

For the protection of children at NWJFC, we will only discuss or provide information about a child’s participation, welfare, or records with the child’s registered parent/guardian and the recorded emergency contacts on the child’s registration, except where we are legally required to do otherwise (e.g., by law enforcement or child protection authorities). This approach supports our safeguarding obligations and APP 6 (appropriate use and disclosure).

 

7. Photographs and media

We may capture and use photographs or videos from club activities for legitimate club purposes (e.g., newsletters, website, social media) in line with consent provided at registration or event notices. Individuals can withdraw consent at any time and we will take reasonable steps to cease future use.

 

8. Data security and retention

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. When information is no longer needed, we will destroy or de‑identify it, subject to legal record‑keeping requirements. (APP 11).

 

9. Access and correction

You may request access to the personal information we hold about you (APP 12) and request corrections (APP 13). We will respond within a reasonable period and, where we refuse access or correction as permitted by law, we will inform you of the reasons and available complaint avenues.

 

10. Cookies and websites

Club and AFL/SEJ websites or platforms may use cookies and analytics to improve user experience and site performance. You can adjust your browser settings to refuse cookies; some features may not work as intended without them.

 

11. Complaints

If you have a privacy concern or wish to make a complaint, please contact NWJFC (details below). We will investigate and respond. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (OAIC) for further guidance.

 

12. Third‑party links and platforms

Our site may link to AFL/SEJ resources or use external platforms. Those services have their own privacy policies; we encourage you to review them (e.g., AFL & AFL Club Privacy Policy and AFL community football policies).

 

13. Policy updates

We may update this Policy to reflect changes to laws, AFL/SEJ requirements or club practices. The most current version will be published on our website.
